How to Respond to Google Reviews: Templates for Epoxy Companies

Responding to reviews is one of the fastest ways to build trust on your Google Business Profile. Prospects read your replies to learn how you handle customers when something goes wrong, and Google treats an active, responsive profile as a good sign.

Five rules for every reply

  • Reply to every review, not only the good ones.
  • Use the customer’s first name and mention the project.
  • Keep it short, polite and specific.
  • Never share private details such as addresses or prices in a public reply.
  • Never argue. Write for the next customer who is reading.

Template: five-star review

Thank you, [Name]! We’re glad you love your new [garage / patio / shop] floor. Our crew worked hard to get the finish exactly right. If you ever have a question about caring for it, give us a call.

Template: three- or four-star review

Thank you for the feedback, [Name]. We’re happy the floor turned out well, and we’re sorry about [the issue they mentioned]. We want every detail to be right, so please call us at [phone] and we’ll take care of it.

Template: negative review

[Name], we’re sorry your experience didn’t meet your expectations, and we appreciate you telling us. We take this seriously and would like to understand what happened. Please contact [name] at [phone or email] so we can make it right.

Keep the reply calm and factual, even if the review is unfair. A professional response to a harsh review often does more for your reputation than a dozen five-star ratings.

What about fake or abusive reviews?

If a review is not from a real customer, contains hate speech, or breaks another Google policy, you can report it through your Business Profile. Gather evidence first, such as the lack of any job record under that name. A reported review is not removed automatically, so still post a short, professional reply.

Asking for reviews the right way

Send every customer a direct link to your review page after the job is complete. Ask everyone, not only the people you think will leave five stars, and do not offer discounts or gifts in exchange. Google prohibits both selective requests and incentives.

Do it consistently

Replies work best when they are fast and regular. Many owners are too busy on job sites to keep up, which is why we handle review responses for our clients. See our Google Business Profile management service.
